Abstract

This article presents the organizational context of the School of Education "General Ignacio M. Beteta" located in the city of Toluca, State of Mexico; with the justification that the General Archive achieves the objectives and fulfills the functions of the Organization Manual. To achieve this, the results of a qualitative, iterative, and recurring research are presented, in order to repeat stages or activities to correct errors and improve results; through a case study, a problem is addressed more effectively, identifying the factors and experiences that helped understand the administrative process from a holistic perspective by perceiving each of the Administrative Units that make up the org chart as a whole of the ENEF. The result obtained was the need to design and implement a Document Management System project to integrate a historical archive, with the aim of preserving and protecting the documentary heritage from its creation to its conservation. For this reason, three proposals are presented: Guidelines and Directions for the Transfer, Selection, Elimination, Classification, Organization, and Processing of the Documentation of the Historical Archive of the Normal School of Physical Education “General Ignacio M. Beteta”; Evaluation and Validation; and finally, Training and Consulting. This regulatory framework will help guide those in charge during the operational process, taking into account the Working Archive, Centralized Archive, and Historical Archive, for the classification, organization, and handling of the documentation from the areas that make up the educational institution.
